Who we are
OPVantis is a software platform for collision repair operations. The service is operated by OPVantis LLC (a Texas limited liability company, EIN 42-3389547), with offices at 5900 Balcones Dr., Ste. 100, Austin, TX 78731. References in this policy to “we,” “us,” and “OPVantis” mean OPVantis LLC.
This policy describes the information we collect when you visit opvantis.com, fill out a signup form, communicate with us, or use the OPVantis platform.
Information we collect
We collect three categories of information:
Information you give us directly
When you fill out the Get Started form, request a demo, or contact us, you may provide your name, email address, phone number, job title, company name, location, shop size, and other details about your business. When you become a customer, we collect billing information, authorized representative details, and the configuration data you load into your OPVantis workspace.
Information collected automatically
When you visit our website or use the platform, we automatically collect basic technical information: IP address, browser type, device type, pages visited, referring URL, and timestamps. We use cookies and similar technologies to keep you signed in, remember your preferences, and measure how the product is used.
Data you process through the platform
If you are a paying customer, OPVantis processes the operational data you and your team enter into the system: repair orders, customer contact information, vehicle data, photos, communications logs, technician time entries, and similar shop-floor records. This data belongs to your organization. We process it on your behalf to provide the service. Our handling of this data is governed by your subscription agreement.
How we use information
We use the information we collect to:
- Provide, operate, and improve the OPVantis platform.
- Communicate with you about your account, demos, support requests, billing, and product updates.
- Respond to your inquiries and prepare for sales conversations.
- Detect and prevent fraud, abuse, and security incidents.
- Comply with legal obligations and enforce our terms of service.
SMS Communications and Mobile Privacy
When you provide your mobile phone number through an OPVantis-powered form, customer intake process, repair update signup, demo request, or account registration, you expressly consent to receive SMS text messages related to the services you requested.
These messages may include:
- Appointment confirmations
- Repair status updates
- Parts arrival notifications
- Vehicle pickup notifications
- Account-related notifications
- Customer support communications
Message frequency varies depending on your interaction and repair activity, but users typically receive between 2-6 messages per repair event.

Reply HELP for assistance.
Consent to receive SMS messages is not a condition of purchase.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
SMS consent applies only to the specific business with which the consumer interacts through the OPVantis platform and is not transferable between businesses, organizations, or affiliates.
We may share mobile phone numbers and messaging data only with service providers that directly support the delivery of SMS communications, including our messaging platform provider Twilio, solely for the purpose of transmitting the messages you requested to receive.
Carriers are not liable for delayed or undelivered messages.

When We Share Information
We do not sell personal information or mobile data.
We share information only in the limited circumstances described below:
Service Providers
We use carefully selected third-party providers to operate the OPVantis platform and related services. These providers may process information only as necessary to perform services on our behalf and are contractually prohibited from using the information for their own marketing purposes.
Examples include:
- Hosting and infrastructure providers
- Database and authentication providers
- Email delivery providers
- SMS delivery providers, including Twilio
Within Customer Workspaces
If you are part of a collision repair facility or organization using OPVantis, authorized members of that workspace may view information necessary to operate the service, including repair order activity, communications history, and assigned workflow data.
Legal Requirements
We may disclose information when required by law, subpoena, court order, or other valid legal process, or when necessary to protect the safety, rights, or security of OPVantis, our customers, or others.
Business Transfers
If OPVantis or its assets are involved in a merger, acquisition, financing, or sale transaction, information may be transferred as part of that transaction subject to applicable privacy protections.
No mobile information, SMS consent data, or text messaging opt-in records will be shared with third parties or affiliates for marketing or promotional purposes.
Data retention
We keep signup form submissions and prospect inquiries for as long as we have an active sales relationship, plus a reasonable period afterward to maintain records of our interactions. Customer workspace data is retained for the duration of your subscription and for up to 90 days after termination, after which it is deleted unless we are legally required to keep it longer. You can request earlier deletion at any time.
Security
We use industry-standard safeguards to protect your information: encryption in transit (TLS), encryption at rest where supported by our cloud providers, role-based access controls, audit logging, and least-privilege access for our staff. No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you in accordance with applicable law.
Your choices and rights
You have the following rights with respect to your personal information:
- Access. Ask us what personal information we hold about you.
- Correction. Ask us to correct inaccurate information.
- Deletion. Ask us to delete your personal information, subject to legal retention obligations.
- Opt out of marketing emails. Use the unsubscribe link in any marketing email, or contact us.
- Opt out of SMS. Reply STOP to any text message at any time.
- Cookies. Configure your browser to block or delete cookies. Some features may not work if cookies are disabled.
To exercise any of these rights, email chuck@opvantis.com. We will respond within a reasonable timeframe and in accordance with applicable law.
Children
OPVantis is built for collision repair professionals. The service is not directed at, and we do not knowingly collect personal information from, anyone under 18. If you believe a minor has provided us with information, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the effective date at the top. If the changes are material, we will notify customers by email or through the platform before the changes take effect. Continued use of the service after the effective date constitutes acceptance of the revised policy.
